TriniTravels Hosted Experience
Terms & Conditions

Welcome to TriniTravels (the “Site”), accessible at www.trinitravels.co.uk.

These Terms & Conditions apply to all bookings made through   www.trinitravels.co.uk for any TriniTravels hosted experiences, including but not limited to the Trinidad Carnival 2027 Hosted Experience.

By making a booking with TriniTravels, you confirm that you have read, understood and agreed to these Terms & Conditions.

1. About TriniTravels

TriniTravels operates as a host and coordinator of curated group travel experiences.

 

TriniTravels is not an airline, hotel operator, transport provider, event organiser, or carnival band organiser.

Accommodation providers, mas bands, transport companies and event promoters operate as independent third-party suppliers.

TriniTravels facilitates group coordination, trip logistics, and experience planning for participants.

2. Booking Confirmation

A booking is confirmed once payment (deposit or full payment) has been successfully received and a confirmation email has been issued by TriniTravels.

Bookings are limited and allocated on a first-come, first-served basis.

TriniTravels reserves the right to decline or cancel bookings where necessary.

3. Pricing Structure

Prices displayed on the website may be shown in multiple currencies for convenience.

All payments are processed in GBP (£) unless otherwise stated at checkout.

Currency conversions are provided as estimates and final payment amounts may vary depending on exchange rates and payment provider fees.

TriniTravels is not responsible for currency fluctuations or international bank charges.

4. Accommodation

Accommodation is provided at the hotel specified within the trip listing.

Guests booking under the Book with a Friend option will share a twin accommodation room with their selected travel companion.

Guests booking under the Book Solo option will be allocated a single accommodation room.

Room allocation is determined by the accommodation provider and TriniTravels.

5. Carnival Costumes

The package includes a midline carnival costume package for both female and male participants.

Costumes are sourced through independent mas bands. 

Final band selection and section allocation are subject to availability when mas bands release their costume sections.

Costume designs, section availability, sizing, and distribution timelines are determined solely by the mas band organisers.

TriniTravels cannot guarantee specific sections or costume designs.

6. Events and Fetes

Events, fetes and entertainment included in the package are operated by independent event promoters.

Event schedules, venues and lineups may change.

If an included event becomes unavailable, TriniTravels will attempt to arrange a comparable alternative where possible but cannot guarantee identical replacements.

TriniTravels is not responsible for cancellations or schedule changes made by event promoters.

7. Flights and Travel Arrangements

International flights are not included unless explicitly stated.

Guests are responsible for arranging their own flights.

Guests must ensure they hold valid passports and any required visas.

TriniTravels is not responsible for issues related to travel documentation, denied boarding, or missed flights.

8. Travel Insurance

All participants are required to obtain comprehensive travel insurance prior to travel.

Travel insurance should cover:

• Trip cancellation
• Medical emergencies
• Personal belongings
• Travel delays
• Carnival and event participation

TriniTravels is not liable for any loss or costs incurred where adequate insurance has not been obtained.

9. Deposits and Payments

A non-refundable deposit is required to secure your booking.

Remaining balances must be paid according to the payment schedule provided during checkout.

Failure to make payments by the stated deadlines may result in cancellation of your booking and forfeiture of payments already made.

Full payment must be received before travel.

10. Cancellations and Refunds

Deposits are strictly non-refundable.

Due to the nature of supplier commitments (including hotels, mas bands, transport providers and event promoters), refunds for subsequent payments may not be possible once bookings have been confirmed.

Guests may request to transfer their booking to another person subject to approval and applicable administrative fees.

11. Third-Party Suppliers

TriniTravels works with independent third-party suppliers including hotels, transport providers, carnival bands and event promoters.

TriniTravels is not responsible for:

• service quality
• supplier delays
• event cancellations
• operational decisions made by suppliers

Guests acknowledge that these services are operated independently.

12. Behaviour Policy

Guests are expected to behave respectfully towards fellow travellers, local communities, accommodation providers and event organisers.

TriniTravels reserves the right to remove any participant from the experience without refund if behaviour is deemed:

• unsafe
• disruptive
• illegal
• abusive or threatening

Guests may also be responsible for any damage caused to accommodation or property.

13. Health and Personal Responsibility

Participation in Carnival activities involves large crowds, outdoor environments and physical activity.

Guests participate at their own risk.

TriniTravels is not liable for injuries, illness, accidents or loss occurring during the trip unless caused by proven negligence.

Guests are responsible for managing their own health conditions.

14. Force Majeure

TriniTravels is not responsible for failure to perform obligations due to events beyond reasonable control including but not limited to:

• natural disasters
• extreme weather
• government restrictions
• strikes
• pandemics
• political unrest
• supplier insolvency

In such circumstances TriniTravels will attempt to offer reasonable alternatives but refunds cannot be guaranteed.

15. Photography and Media

By participating in a TriniTravels hosted experience, guests consent to the possibility of being photographed or filmed during group activities.

TriniTravels may use such media for promotional purposes unless written notice is provided prior to travel.

16. Limitation of Liability

To the maximum extent permitted by law, TriniTravels’ total liability for any claim arising from participation in the experience shall not exceed the total amount paid by the participant directly to TriniTravels.

TriniTravels shall not be liable for indirect, incidental or consequential damages.

17. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes arising from bookings made through TriniTravels shall be subject to the jurisdiction of the courts of England and Wales.
